We categorize financial transactions in your bookkeeping system and organize the supporting records. When an item needs context, we clarify it with your team rather than make assumptions.

Bank & credit card reconciliations

We compare the accounts in your books with the corresponding statements and investigate differences, so missing entries and unexplained balances can be addressed.

Monthly financial statements

We prepare statements from the reconciled books to help you understand the month’s activity and your practice’s financial position.

Quarterly financial analysis

We examine profit and loss, costs relative to income, and cash flow to help you see changes over time and identify questions worth a closer look.

We agree the reporting package and delivery schedule during onboarding. Timing depends on receiving the required information and completing any outstanding bookkeeping.

Lab bills, clinical supplies, and merchant fees deserve useful categories, not a growing list of miscellaneous expenses. During onboarding, we review the account structure with your practice’s reporting needs in mind.

We also discuss the records available to explain deposits and settlements. Any reconciliation involving practice-management reports is scoped around the information and systems you actually use.

Bookkeeping is separate from clinical billing. Insurance claim submission and patient collections are not included in the monthly bookkeeping service.

We look at your accounts, transaction activity, business entities, current records, and reporting needs before agreeing the scope and monthly fee.

A considered transition

We start with a conversation about your practice, review the existing setup, and document the workflow. If your books need catching up, we agree that work before moving into the monthly routine.

Setup, software, and scope of service are tailored to your practice. All fees and applicable taxes are outlined in your proposal.

Dental bookkeeping questions

A few things you
may be wondering.

What does the monthly service include?

Transaction categorization and record keeping, bank and credit card reconciliations, monthly financial statements, and quarterly financial analysis. Your proposal specifies the accounts, entities, and work covered by your monthly fee.

Can we keep our current accounting software?

QuickBooks Online and Xero are our preferred platforms. We review your current setup before recommending a change. Software costs and any setup work are outlined in your proposal rather than assumed to be included in the starting price.

Can you help if our books are behind?

Yes. We assess the records and scope the catch-up work separately. The amount of historical work and the information available determine the transition into ongoing monthly bookkeeping.

Do we need to change our accountant?

No. We work alongside your existing year-end accountant and agree how records and reports will be shared. Orus does not provide personal tax or year-end accounting services.

When will we receive our monthly reports?

We agree the schedule during onboarding. Completing the reports depends on receiving the required records and resolving outstanding questions. Any historical cleanup is considered when setting the first reporting period.

Does bookkeeping include payroll or insurance billing?

Payroll is a separately scoped service. Insurance claim submission and patient collections are not part of monthly bookkeeping. We clarify the boundary between financial record keeping and the work your practice team manages.

What information should we bring to the first conversation?

A general outline of your practice, your accounting software, whether your books are current, and what you would like help with is enough to start. Please don’t send patient information, passwords, or sensitive financial records through the enquiry form.
